GuestLive is the trading name for this service. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the data controller of your personal data.

  • Event Media Uploads – photos, video files, and voice recordings you submit.
  • Submission Details – names or other identifiers you add when submitting content.
  • Event Details – the unique event code used to upload or view content.

b) Information Collected Automatically

  • Technical Identifiers – such as IP address, browser type, and device info, collected for security and performance.
  • Cookies – only essential cookies are currently used. If non-essential cookies (e.g. analytics) are introduced, we will request your consent.

c) Information From Third Parties

If you use administrative or organiser features, we may receive basic authentication or profile details from your chosen sign-in provider.

4. How We Use Your Data

We use your data for the following purposes, based on contract, legitimate interests, or consent (where required):

  • To provide, operate, and maintain the service
  • To enable media sharing within events
  • To protect the security and integrity of the platform

Use of Uploaded Content in Marketing

By uploading media, you grant us a non-exclusive, worldwide, royalty-free licence to use, reproduce, and display your content for GuestLive promotional purposes. You may withdraw this permission at any time by contacting us at privacy@guestlive.co.uk. Withdrawal will not affect prior lawful uses.

5. Disclosure of Your Data

We may share your data:

  • With other event participants – anyone with the event code may view and download uploaded content.
  • With service providers – including hosting, storage, communications, and payment processors, under strict data protection agreements.
  • Where legally required – to regulators, law enforcement, or other public bodies.

We never sell or rent your data to third parties.

6. International Transfers

Where your data is transferred outside the UK or EEA, we ensure it is protected by appropriate safeguards such as the UK International Data Transfer Addendum or other recognised mechanisms.

7. Data Retention

  • Media uploads – stored for 90 days after the event unless extended by the organiser.
  • Submission details – retained for the same period as media.
  • Event data – deleted once the retention period expires or upon organiser request.

8. Your Rights

Under UK GDPR, you have the right to:

  • Access – request a copy of the data we hold about you.
  • Rectify – correct inaccurate or incomplete data.
  • Erase – ask us to delete your data (with some legal exceptions).
  • Restrict processing – limit how your data is used.
  • Object – to processing based on legitimate interests, including direct marketing.
  • Withdraw consent – where processing relies on consent.

9. Children's Privacy

GuestLive is not intended for users under 13 without verified parental consent. If we learn that a child's data has been collected without consent, we will delete it immediately.

We implement appropriate technical and organisational measures to protect personal data, including encryption, secure storage, and restricted access.

However, no system is completely secure, and you accept that online transmission carries inherent risks. You are responsible for safeguarding your event codes and login credentials.

11. Cookies & Tracking

Only essential cookies are used at present. If analytics or advertising cookies are introduced, we will update this Policy and seek your consent in line with the Privacy and Electronic Communications Regulations (PECR).

We may update this Privacy Policy from time to time. Changes will be posted at guestlive.co.uk/privacy with the updated "Last Updated" date.
